Purpose and scope
Achiewell LLC (“Achiewell,” “we,” “us,” or “our”) operates Achiewell Dolibarr–QuickBooks Sync (the “Application”) to support its internal accounting and business operations. The Application connects Achiewell’s Dolibarr enterprise resource planning system with its authorized QuickBooks Online company.
The Application is intended exclusively for employees of Achiewell who have been specifically authorized to use it. It is not offered to customers, suppliers, outside accountants, contractors, or the general public, and it does not provide public account registration.
This policy explains how information is handled through the Application. Although only authorized employees may use the Application, the business records it processes may contain information about customers, supplier contacts, employees, and other individuals involved in Achiewell’s business.
This policy supplements Achiewell’s other applicable privacy, employment, information-security, and records-management policies. It does not describe all information collected through unrelated Achiewell systems or activities.
Information processed
Depending on the functions enabled and the records synchronized, the Application may process:
· Business contact information: Customer and supplier names, contact names, addresses, email addresses, telephone numbers, and related business identifiers.
· Accounting and operational records: Invoices, supplier bills, purchase orders, credit notes, payment records, transaction references, dates, amounts, currencies, payment terms, tax information, item descriptions, and notes or custom fields included in those records.
· Account and mapping information: QuickBooks company identifiers, accounting account references, Dolibarr record identifiers, and links used to match records between the systems.
· Authorization information: API credentials and OAuth access and refresh tokens used to connect authorized systems.
· Technical and diagnostic information: Request timestamps, network addresses, synchronization status, error messages, retry records, and diagnostic records that may contain portions of synchronized business data.
Information is obtained from Achiewell’s authorized Dolibarr and QuickBooks Online systems, employee actions within those systems, and the Application’s operation. Employees should not enter unnecessary personal, sensitive, or confidential information into transaction descriptions, memo fields, or other synchronized free-text fields.
How information is used
We use information to perform authorized synchronization, match related records, reduce duplicate entry, reconcile transactions, troubleshoot errors, maintain access controls, and support Achiewell’s accounting, audit, and recordkeeping responsibilities.
Authorized administrators may review operational and diagnostic records to investigate failures, misuse, or security concerns. The Application is not intended for advertising, personal employee use, or processing the books of unrelated businesses.
Synchronizing a payment record documents an accounting event. It does not, by itself, authorize an employee to initiate a bank transfer or make a payment.
Access and disclosure
Application access is limited to authorized Achiewell employees according to their assigned responsibilities. Employment alone does not grant permission to access all records or administer the connection.
The Application exchanges the information necessary for enabled functions between Achiewell’s Dolibarr system and its authorized QuickBooks Online company. Intuit’s handling of information within QuickBooks Online is also subject to the terms and privacy notices applicable to that service.
Service providers supporting hosting, infrastructure, backups, or security may process information as necessary to provide those services under arrangements approved by Achiewell. Such processing does not grant those providers permission to use the Application as end users.
Achiewell does not sell Application data or use it for targeted advertising. We may disclose information where required by law, in response to valid legal process, or as reasonably necessary to investigate security incidents, prevent fraud, or protect lawful rights.
Storage and safeguards
Information may be stored in Achiewell’s connected systems, the Application’s synchronization database, operational logs, and backups. Storage and processing locations depend on Achiewell’s approved hosting and service-provider arrangements.
Achiewell is responsible for maintaining safeguards appropriate to the information and the Application’s internal business purpose. Employees must protect credentials, use approved access methods, and report suspected unauthorized access or disclosure promptly.
No system can be guaranteed completely secure. This policy does not represent that a specific encryption method, security certification, or other technical control has been implemented unless separately verified by Achiewell.
Retention, disconnection, and deletion
Information is retained for the applicable business purpose and in accordance with Achiewell’s approved records-retention requirements, legal obligations, audit needs, and legal holds. Diagnostic and retry information should be retained only as long as reasonably necessary for operational, security, or troubleshooting purposes.
Disconnecting QuickBooks or disabling synchronization stops future authorized synchronization once the disconnection is completed; it does not automatically delete invoices, bills, payment records, or other information already recorded in either system. Stored authorization credentials should be revoked or removed when no longer required.
Information scheduled for deletion may remain in restricted backups until those backups expire under the applicable retention schedule. Records subject to legal or accounting retention obligations may need to be preserved.
Questions, corrections, and requests
Employees and other individuals whose information appears in business records may contact Achiewell at pshipman@achiewell.com with questions or requests concerning their information. Achiewell may verify identity and authority before responding or making changes.
Requests will be considered under applicable law and Achiewell’s recordkeeping obligations. Corrections to accounting records may require an authorized adjustment rather than deletion, and this policy does not limit any rights provided by applicable law.
Policy changes
Achiewell may update this policy when the Application, its practices, or applicable requirements change. Approved revisions will display an updated effective date, and material changes affecting employee use will be communicated through an appropriate internal channel.
This policy is a notice of information-handling practices. It is not a request for blanket employee consent, a waiver of privacy rights, or an employment agreement.
